How to Download an Invoice as PDF: Print and Save Guide

To download an invoice as a PDF, complete the invoice, open the print or PDF action, choose Save as PDF in the browser's print dialog, review the paper size and preview, then save the file. The PDF is created through your browser's printing tools.

How do you save an invoice as a PDF?

InvoicesCrafts uses the browser's print pipeline to create a printable invoice. Start with the completed document and use the template's print or PDF action. The print dialog then lets you choose a PDF destination or a physical printer. The exact labels depend on your browser and device.

  • Enter the business, customer, invoice dates and line items.
  • Review the currency, taxes, payment details and total in the invoice preview.
  • Open the print or PDF action from the template.
  • Choose Save as PDF or the equivalent PDF destination.
  • Check paper size, margins, scale and every preview page.
  • Save the file with a recognizable invoice reference, then open it to verify the result.

Should you choose A4 or Letter?

Templates use Letter formatting for the United States and Canada and A4 formatting for other supported country profiles. Match the print dialog's paper size to the selected profile so the invoice has the expected page proportions.

Start with the default scale and inspect the preview. If a long address, note or item description looks clipped, shorten the text where appropriate or adjust the browser's print settings. A document with many items can span more than one page; check that the final total and payment instructions are present.

Keep the PDF and the editable draft

A PDF is the finished document you share. The draft is the editable version you can return to in the builder. Exporting a PDF does not replace keeping the draft or managing the invoice record. Guest drafts are stored in the browser where you created them; clearing that browser's storage can remove them.

Give the file a recognizable name such as INV-2026-001.pdf, and store it with the transaction's other records. Open it before sharing through your normal delivery method. If you change the invoice after export, export and check a new PDF so the copy you send matches the final document.

Example: checking a two-page invoice

Use this review sequence for an invoice with enough line items to continue onto a second page.

Common questions

Why does clicking Download PDF open a print dialog?

The invoice is exported through the browser's print tools. Choose Save as PDF in that dialog to create a file rather than sending the document to a printer.

Why are some invoice colors missing from my PDF?

Your browser may have background graphics disabled. Enable them in the print settings, review the preview again, and save a new PDF.

Can I edit the PDF in the invoice builder?

Return to the editable invoice draft in the builder, make the changes, then export a new PDF. The saved PDF and the editable draft are separate copies.
